How to use this template

  1. Fill in the meeting date, time and location or video link.
  2. List the financial items your treasurer or manager will present.
  3. Add any standing committee reports that are due — ARC, landscaping, social/communications.
  4. Carry forward unresolved old-business items from the prior meeting's agenda.
  5. Add new-business items with enough detail for members to prepare and ask questions.
  6. Post or distribute the agenda within the notice period your bylaws or statute require.

Sample HOA annual meeting agenda

An annual meeting agenda is different from a board meeting agenda because the members, not the directors, are the ones voting. It is shorter on operations and longer on reporting and elections. Use the order below and paste it into the editor above in place of the board agenda.

Post it with the annual meeting notice, since most statutes and bylaws require the notice to state what business will be conducted, especially any election or vote on the budget.

How to write agenda items so the meeting stays short

Write each business item as the decision to be made, not the topic. "Approve landscaping contract with [VENDOR] for [AMOUNT]" gives the board a motion to vote on. "Landscaping" invites a forty-minute conversation. Put a time estimate beside each item and mark which items are for a vote, which are for discussion only, and which are information.

Can the board add items during the meeting that weren't on the agenda?

Do executive-session topics need to appear on the public agenda?

Typically the general topic (for example, "legal," "delinquency," "personnel") is noted without confidential detail — verify what your statute requires you to disclose.

Who's responsible for posting the agenda?
