How this calculator works

The calculator sums every line item to produce your total annual operating budget. Dividing that total by your number of units, and then by 12, gives the per-unit monthly cost that operations alone add to dues.

Each category bar shows that line item as a share of the total budget, sorted from largest to smallest, so the biggest cost drivers are easy to spot. Reserve contributions are handled separately; use the reserve funding calculator to add them on top.

A worked example

Suppose your association budgets four expense categories for the year: landscaping $20,000, insurance $15,000, management fees $15,000, and common-area utilities $10,000. The total annual operating budget is $60,000.

With 40 units, the per-unit monthly cost is $60,000 ÷ 40 units ÷ 12 months = $125.00 per unit, per month.

The category breakdown shows landscaping and insurance each about a third larger than utilities: landscaping 33.3% ($20,000), insurance 25.0% ($15,000), management 25.0% ($15,000), and utilities 16.7% ($10,000) — the four shares sum to 100% of the budget.

How boards use the result

The total operating budget is the starting point for setting dues: add your annual reserve contribution (from the reserve funding calculator) to this total, then divide by units and months to land on a monthly assessment — the HOA dues calculator does that combined math directly.

The category breakdown helps a board explain, in a meeting or a newsletter, exactly where dues money goes, and it's a natural starting point when comparing this year's proposed budget to last year's actuals line by line.

Assumptions and limits

This tool assumes every line item you enter is a recurring annual operating cost. It does not include reserve contributions, which most associations budget and fund separately — use the reserve funding calculator for that piece, then add the two totals together.

It also doesn't build in a contingency line, a mid-year cost increase, or financing costs. Treat the output as a planning estimate, and confirm your final budget against your governing documents' approval process and any state or provincial budget-disclosure requirements.
